WHAT IS VENDOR VILLAGE

The Vendor Village is an elevated shopping experience filled with products, a food court featuring 8 eateries with curated menu items served fresh, grab-and-go sweet treats and jerky, and more!

Attendees are looking for a shopping and immersive experience. We plan to meet that demand with high-quality vendors with unique items to sell. The event takes place at Bayfront in Beach Haven. Map

SELECTED VENDORS – REQUIREMENTS

This is a juried event that sells out. 

All participating vendors must email:
– Full Payment
– Signed contract (provided by SOCA)
– Copy of a certificate of insurance Sample – Send this to the Agent so the wording is correct.

– FOR FOOD COURT VENDORS ONLY – Completed and signed Temporary Food Establishment Form (provided by SOCA)

VENDOR TYPES

What we are looking for:

FOOD VENDORS
– Food Court: 8 12×12 Spots Available 
No food trucks – No repeat food types. Electricity and handwashing/sanitation station provided.
Handheld items/finger foods always do well so people can walk and eat.
12×12 – 1 spot limit

– Food Products: 5 Max 10×10 Spots Available 
Baked good and pre-packaged items.
10×10 – 1 spot limit

NON-FOOD VENDORS – 65 Max 10×10 Spots Available 
– Products
Sell merchandise such as clothing, accessories, individually wrapped goods, plants, souvenirs, handicrafts, art, etc.
10×10 – 2 spot limit but not guaranteed.   

– Interactive
Face painting, games. – No animals, or balloons. 
10×10 – 1 spot limit

– Non-Profits
NOTE: SOCA is a non-profit organization and Chowderfest is their fundraiser. 
10×10 – 1 spot limit

APPROVED
 non-profit organizations would need to be selling items where proceeds go to the mission, or have an interactive element/game. No 50/50 raffle sales are allowed to be sold prior to Chowderfest and then pulled at the event or during the event. 

In its sole discretion, the Southern Ocean Chamber Association has the right to reject any merchants and food vendors from the Chowderfest Bayfront Festival & Vendor Village.

WHAT IS THE VENDOR CAPACITY?

Chowderfest sees about 8,000 people and takes place within a fenced-off parking lot in Bay Village. With this space restriction, we have to cap the amount of space in our Bayfront Festival & Vendor Village. 

Vendor Capacity Details:
– Food Court Vendors –  Menu items, cooking and preparing food. No food trucks – No repeat food types.
8 12×12 Spots –  1 spot limit 

– Food Vendors – Pre-packaged foods/ baked goods.
5 10×10 Spots –  1 spot limit 

– Non-Food Vendors – Products, Interactive, Non-Profits
65 10×10 Spots – 2 spot limit 

REFUND POLICY

Vendor fees paid to SOCA are non-refundable.

Once SOCA receives both, the full payment and signed vendor contract, the vendor immediately receives their designated exhibition space(s) and SOCA can no longer offer this space(s) to any other vendor for September 30 or Rain Date Oct 1. Therefore, fees paid to SOCA are non-refundable.

NOTE: If the event is canceled due to a State of Emergency, acts of terrorism, or any other issue beyond the Southern Ocean Chamber Association’s control, a refund will be issued. However, a $100 fee will be retained per space. SOCA will not be responsible for any additional costs incurred by the vendor.

FAQ:
– Fees do not carry over if a vendor is unable to attend rain date, becomes ill, has a schedule conflict, etc. 
– No shows are noted – the committee takes that into consideration during the jury process.

DAY OF DETAILS

Set Up Timeframe: 7am – 9am the morning of the event. 

Parking Pass: Required to show either on phone or printed. Roads will be closed vendors are the only people allowed in. Police will be letting you in and looking for the pass. Share with staff once emailed to you. 

Vendors MUST SUPPLY the following:
10×10 covering with adequate weights/tie-downs
Tables & Chairs
Fire extinguisher (Fire Marshall will be on-site checking – only one way on and off LBI. We take emergencies seriously when large crowds gather on LBI)
Extension Cords

Tender Options
ATMs will be at the event, however, vendors who offer cashless options do far better than vendors who only accept cash.

Vendor Space
Food Vendor 12 x 12 space
Non-Food Vendor 10 x 10 space 
Vendors will be about 1 foot apart in rows.

On the day of the event you will be issued your vendor spot number. 
The event is on a marked-out asphalt parking lot near Barnegat Bay. Be sure to bring adequate weights/tie-downs. When setting up your space, remember that your booth can be entered from either side as we form rows of vendors. 

ALCOHOL

Chowderfest already has an exclusive with a distributor on all alcoholic beverages (beer/wine/seltzers). No secondary vendors are permitted to sell alcohol or promote their brand. Nor will we accept vendors selling alcohol or items with alcohol in them. 

PROHIBITED

Vendor Space Sharing/Promotion – Vendors cannot share vendor spots. Meaning, multiple businesses/splitting a spot with another business. Hiring a service/promoting another business (massage, baked goods, etc.) If a business wants to promote or be at the event, they must pay. Each vendor space represents an individual business. If vendors attempt this, the registered business will no longer be able to exhibit and the business not registered will be billed. 

Solicitation – Absolutely no solicitation of any kind is allowed. You will be told to leave by BHPD and/or the festival security team. 

Unapproved Fundraising – Chowderfest is a SOCA Fundraiser. Unless approved, and in writing, no fundraising is allowed. Beach Haven ordinance 144-5.
